Emails are an incredibly useful and powerful tool for communication, but sometimes it can be hard to get a response. How do you make sure your emails are engaging enough to encourage people to reply? 

Here are some valuable tips on how to increase your email response rate, based on our own experience here at Dynamis Group – a Talent Consultancy focused on attracting and retaining exceptionally gifted talent and leaders who care. 

1. Pick the Subject Wisely 

As the email analysts highlight, email open, click, and bounce rates can vary significantly depending on the time of day, the industry, the type of email (e.g., welcome versus promotional), subject lines, and whether emails contain embedded graphics or videos.

This is the first thing that your receiver will look at, so it’s important to craft a subject line that will grab their attention and make them want to read further. Make sure the subject line is clear and concise, while also being something that will pique their interest. For example, if you’re offering advice or help in a certain area, you could phrase your subject as “How I Can Help You [Topic].” 

2. Mention Their Name and Organisation 

Make sure to include the recipient’s name in both the subject line and body of your message—this is an easy way to show them that you care about them individually and have taken the time to personalize this message just for them. This simple step can make all the difference when it comes to getting responses from busy decision-makers or human resources managers. Also, make sure you mention their organization—this shows that you’ve done your research and helps establish trust between yourself and the recipient. 

3. State Your Intentions Clearly 

When writing emails, always be precise with your wording and state what exactly it is you would like from them. Be clear about what information they should provide or action they should take – this can drastically increase your chances of getting a response. Always keep in mind that people are busy, so try not to ask too many questions in one email.

5. Mind Time Zones When You Work Internationally 

According to the 2022 email statistics by Zippia, the average email open rate is 17.61%, the click rate is 8.74%, and the bounce rate is 10.64%. However, factors like the time of day or week, as well as the industry sending the email, can all have a massive effect on these rates.

There is a higher chance for an email to be opened if received during work hours, preferably in the morning. This way, you also avoid any potential confusion about which time zone was used for making appointments.  

6. Choose Your Questions Wisely 

When asking questions in your emails, make sure that those questions are open-ended and clear so that there is no confusion about what kind of answer you are looking for. For example, instead of asking “What do you think?” ask “What challenges have you faced in developing new projects?” Open-ended question words such as what, why, who, when, etc., will help make sure that your readers understand what kind of answer they should provide back to you – and trust us, we are speaking from our experience. 

As we discovered above, asking questions in your emails is one way to increase response rates because people tend to be more likely to respond when they understand exactly what they should answer and why it matters. We also recommend remembering that keeping track of past conversations with customers helps keep track of how long it took for them to reply.
